Scope
This policy applies to consulting sessions and document work you book with OptiAnalytics. It does not cover Jobcenter benefits, employer wages, or third-party translation fees you pay directly to translators.
Eligibility for a full refund
You may receive a full refund if you cancel in writing (email is sufficient) at least 48 hours before the scheduled session start and we have not yet begun paid document work for that booking.
Partial refunds
If you cancel between 48 and 12 hours before the session, we retain 40% of the confirmed fee for reserved advisor time and refund the remainder. If document drafting for an application clinic has already started, completed hours are charged at the agreed rate and only the unused portion is refunded.
Non-refundable items
Completed sessions are non-refundable. Written placement plans, finished Lebenslauf packages, and recognition checklists already delivered are non-refundable. Third-party costs (sworn translations, courier fees) arranged by you remain your responsibility.
No-shows
If you miss a session without notice, the full fee is due. We may offer one reschedule at our discretion when contact resumes within five working days.
Rescheduling
You may reschedule once at no charge with at least 24 hours’ notice. Further reschedules may incur an administrative fee of €25 confirmed in advance.
Work already started
When you have approved drafting to begin before a live session (for example CV rewrite), hours already worked are payable even if you later cancel the meeting portion.
Deposits
If a deposit was requested to hold a multi-session package, it is applied to the final invoice. Unused deposit amounts follow the cancellation timelines above.
Refund process and timing
Email hello@optianalytics.digital with your name, session date, and reason. Approved refunds are processed within 14 working days to the original payment method where possible, otherwise by bank transfer to an account you nominate.
Exceptions
If we cancel a session, you may choose a full refund or a free reschedule. If technical failure on our side prevents a video session, we reschedule at no cost or refund in full at your choice.
